CCW SECRETARY

This is a required officer position with a two-year term and renewable terms if the officer is willing/able and in good standing with CCW. This officer must first be voted into the board of directors by the membership before filling this officer role. Thereafter, the board of directors votes to appoint this person as a CCW officer.

Time Commitment: Estimated five to seven hours per month, average.

Begins: October 2025

Duties:

  • Attend quarterly board meetings online.
  • Attend the annual members’ meeting in the fall.
  • As able, makes a best effort to attend all conferences, currently three per year. Assist in some fashion with conference setup, operations, or tear-down as needed.
  • Attend at least two Members Circles or Prayer Circle events online per year.
  • Take minutes of board and annual meetings. The AI Assistant for Zoom meetings largely helps with this effort. Distribute the minutes to the team for edits.
  • Prepare final minutes and keep as a part of the official record.
  • Help track online and offline votes and prepare results for the official record.
  • Keep copies of all records and pass those on to the board as requested or at the end of tenure.
  • Oversee the online member list (the president currently maintains, but the secretary can edit if needed)
  • Perform the duties of the president in the absence of a president, vice president, or interim president in those roles.
  • As able, assist with opportunities, including fundraising and other activities vital to the continuation of CCW.

CASCADE WRITING CONTEST TEAM & TEAM COORDINATOR

This team manages the Cascade Writing Contest.

Team Time Commitment: As a team, up to thirty-eight hours before the contest opens, as entries come in (December through the middle of February), and up to one hundred hours after the contest deadline closes (the middle of February through June).

Begins: When filled. From now until fall 2025, learn from and assist the current contest coordinator, then serve at least two years. These are not year-round positions. They begin in November or December each year and run through the beginning of July. The systems are already in place to make this team as efficient and straightforward as possible. All training is provided, and the CCW Team is always available for questions or concerns. 

Team Duties:

  • Review current submission guidelines each year and provide changes for the website pages as needed.
  • Assist in planning advertising and marketing for the event with the Marketing Team, if needed.
  • Provide customer service/answer questions about the contest initially and sometimes after submissions are made.
  • Manage communication with participants, CCW team/board, and judges regarding the contest.
  • Have one team member be available via email and provide email updates to the board in peak season.
  • Have one team member attend a portion of quarterly board meetings on Zoom, as needed.
  • Track submissions and payments using Jotform. Training is provided.
  • Share information and financials with CCW board, as requested.
  • Communicate and coordinate with CCW treasurer, as needed.
  • Coordinate professional judges (a list of past helpers is available) to judge submissions by the deadline, review judges’ comments, and provide feedback to participants.
  • Arrange for certificates to be printed for the winners. Sign certificates and arrange for the CCW president’s signature.
  • Provide appreciation to judges and contestants.
  • Organize the annual Cascade Award Ceremony, which is usually held at the summer conference, including desserts, table decorations, etc. Prepare a PowerPoint slideshow (past slideshow provided) of finalists to run at the award ceremony. Arrange photography of finalists and winners with one of the CCW photographers onsite at the award ceremony.
  • Attend the summer conference. Prepare and tear down the room where the ceremony is held, with help.
  • Arrange a team member or two who are comfortable speaking up front to recognize finalists and winners at the event. They should have some sort of a script prepared and be able to move the ceremony forward in a timely matter.
  • If needed, assist or answer questions with live-streaming the awards (a current tech team is in place).
  • Attend other conferences and events as able. Provide short and exciting snippets on the benefits of entering the Cascade Writing Contest at conferences and other events.
  • Pass any testimonials given to the CCW Marketing Team.
  • Other contest-related duties, as needed.

Coordinator, as a Lead, is responsible for all duties. 

The coordinator is evaluated annually by the CCW board and does not have a term, although the board requests a commitment of at least two years. Per the bylaws, this person may not serve on any committees established by the board or be a board member.

Free annual membership to CCW while serving, or within the year thereafter, free one-day conferences while serving, a discount on tuition for the summer conference if attending and helping, connection with writing and publishing professionals, and a monetary stipend paid after the Cascade Awards each year. Coordinator may choose to share stipend with team.

 

 

Board Advisors

These positions are not part of the voting board of directors but provide valuable insights, ideas, and encouragement to the board to assist in decision making. They are members of CCW who care about the organization and wish to see it sustained in the long term. They do not serve for a certain term/time period, but the board appreciates a one-year commitment. Performance is reviewed by the board on an annual basis.

Time Commitment: One hour per week, average.

Begins: When filled.

Duties:

  • Be available via email for any current discussion that the board wishes for their input.
  • Attend quarterly board meetings, as requested.
  • Advise the board when decisions need to be made and bring input to consider.
  • As possible, attend CCW events and connect with members.
  • Board advisors are welcome to participate in, or help organize, committees as approved by the board of directors.
  • Board advisors are welcome to volunteer and help in other capacities, as able.

Prayer Team Members

Time Commitment: Thirty minutes to two hours per week, average (depending how long you like to pray)

Duties:

  • Pray for prayer members’ prayer requests sent to you.
  • As able, attend and participate in monthly Zoom Members Circle events.
  • As able, volunteer to open or close monthly Zoom Members Circle events with prayer.
  • Attend summer conference and serve in the prayer room (schedule can potentially be worked around the classes you are interested in attending).
  • Write a 175-word prayer, with a Scripture verse, to open the monthly e-newsletter twice a year (currently all are covered except December 2026).
  • Attend the monthly CCW Zoom Prayer Circle on the first Sunday of the month from 4–5:00 PM Pacific.
  • Keep members’ prayer requests private and among prayer team only.
  • Occasionally be willing for extra work if needed (sending cards to members [currently filled]; help set up and tear down for conferences, etc.).
